RBox allows you to configure settings for controlling candidate sourcing done from various sources such as automatic parsing from email, desktop, walkin candidates etc.
You can control how duplicate candidates are handled during automatic addition to the database, handiling of merged candidates already shortlisted in jobs, setting the disk file time as the current time for candidates imported from the computer hard disk etc.
Common Tasks
- Set the method for handling candidate duplicacy
- Specify how candidate merging should be done for shortlisted candidates
- Control setting of candidate addition date/time for candidates added from disk
1. Set the method for handling candidate duplicacy
Follow these steps via a user login having administrator privileges:
- Point to the Tools menu and select 'System Configuration'.
- In the System Configuration Navigator, expand the 'System Settings' folder node and click on the 'Candidate Sourcing' data view.
- In the right-hand pane, in the 'Duplicate Resolution' section select the desired duplicacy handling option from the 'Method for resolving Candidate Duplicacy automatically when adding Resumes' drop-down.
You can select from the following options:
- Smart Merge New with Existing: Auto-detect updated candidate details in parsed resumes and decide whether to merge these with existing candidate records, replace the existing resume file or skip the incoming resume.
- Overwrite Existing Candidate: Always replace the existing candidate resume with the incoming resume.
- Skip New Candidate: Always skip the incoming resumes that are duplicates of existing resumes.
- Do Not Resolve Duplicacy: Do not perform any action when duplicate candidates are detected.
2. Specify how candidate merging should be done for shortlisted candidates
Follow these steps via a user login having administrator privileges:
- Point to the Tools menu and select 'System Configuration'.
- In the System Configuration Navigator, expand the 'System Settings' folder node and click on the 'Candidate Sourcing' data view.
- In the right-hand pane, in the 'Duplicate Resolution' section,
- Tick 'Do not merge duplicate candidates with candidates shortlisted in active jobs' to disable auto-merging of updated candidate information with candidates already shortlisted in active jobs.

Tick 'Merge duplicate candidates with candidates shortlisted in closed jobs' to enable auto-merging of updated candidate information with candidate shortlisted in closed (i.e. completed) jobs.
3. Control setting of candidate addition date/time for candidates added from disk
Follow these steps via a user login having administrator privileges:
- Point to the Tools menu and select 'System Configuration'.
- In the System Configuration Navigator, expand the 'System Settings' folder node and click on the 'Candidate Sourcing' data view.
- In the right-hand pane, in the 'Candidate Creation' section, tick 'Do not use File Time for setting Date Received of candidate when extracting from files' to disable setting the disk file creation time of a resume file as the 'Date Received' for the candidate added from the file to RBox.
