You can import candidate data that you have in MS Excel or Comma Separated Value (CSV) file formats directly into RBox as candidate records.
This feature is useful for quickly bringing in candidate data from different sources including:
- Download candidate data from Job Boards in Excel format.
- Candidate references or walk-in candidate data entered by team members in Excel sheets.
- Candidate data exported to XLS/CSV format from another software product.
You can import candidate data as Full Candidates in RBox or as Headhunting or Walkin Leads.
Steps for Importing Data
Following are the broad steps in importing data from XLS/CSV files:
- Select the Candidate object type into which to import the data.
- Select the source XLS/CSV file from which to import data.
- Specifying the columns in your XLS/CSV file to be mapped to corresponding columns in RBox. You can also import data into User-Defined fields created in RBox.
Special Values in Import
You can specify the following additional mapping when importing candidates/candidate leads:
- Source Type: Candidate source type to set for the imported candidates, for e.g. ‘Job Board’, ‘Vendor’ etc.
- Source Name: Source name to set such as a Job Board name, vendor name etc.
- Added By: You can specify the user whose data is being imported.
Other Options
Additionally, you can also set the following options for organizing the imported data:
- Duplicacy Resolution: Specify the action to take on duplicate/updated resumes
- Add to Collection: Import the candidates into a specific Collection
- Functional Classification: Classify the candidates into the selected functional roles
Once the import process is completed a notification will be displayed in the Notification Band and also posted in the Notifications data folder containing the summary of the import process. You can check the System Log in case of any errors/failures during the process.

1. Import Candidate Data
You can import candidate data as Full Candidates in RBox or as Headhunting or Walkin Leads.
Follow these steps for importing candidate data:
- Point to the 'Tools' mega menu and select 'Import XLS Data'.
- Select the Candidate object type into which to import the data.
- Select the source XLS/CSV file from which to import data.
- In the 'Columns' drop-down, specify the columns in your XLS/CSV file to be mapped to corresponding columns in RBox. You can also select User-Defined fields created in RBox.
- You can add additional mapping rows to the mapping section by clicking on the 'Add New Mapping Row' link.
