File categories are used for storing documents related to various recruitment objects in RBox. You can define your own document categories and add documents for these objects.
RBox objects for which you can manage documents include:
- Candidates
- Clients
- Contacts
- Vendors
- Resume Sources
Document Categories
Each object can have different categories of files:
- System files: This is a pre-defined file category for storing default files for a object.
- Other files: This can contain user defined file categories. For e.g. for a candidate you can create a file category called Educational Certificates under which you can add scans of their UG, PG, and other professional certificates.
Files in a Category
You can set the number of files that can be added for each document category that you define for an object. This can be a finite number or unlimited.
Use File Categories to store complete information for each recruiting object under relevant document categories.
File Categories can be created from the System Configuration module via an administrative user login.
Common Tasks
- Add a new file category
- Modify a file category
- Delete a file category
1. Add a new file category
Follow these steps from a user login having administrator privileges:
- Point to the Tools menu and select 'System Configuration'.
- In the 'System Configuration' Navigator, expand 'Recruiting Objects' and click on the 'File Categories' data view.
- In 'Object Type' select the module in which the file type is to be used.
- In 'File Field Name' specify the file category type under which you want to add a new category. Note that you cannot add a file category under the 'System Files' type.
- In 'Category Name' enter the file type/category name.
- Select the no. of files that can be added for the file type in 'Max. Files'. Select 'Unlimited' to allow unlimited no. of files to be added.
- Click on 'Save'.
2. Modify a file category
Follow these steps from a user login having administrator privileges:
- Point to the Tools menu and select 'System Configuration'.
- In the 'System Configuration' Navigator, expand 'Recruiting Objects' and click on the 'File Categories' data view.
- In list pane on right click on the file category to modify. The detail dialog will come up.
- Make the desired changes and click 'Save'.
3. Delete a file category
Follow these steps from a user login having administrator privileges:
- Point to the Tools menu and select 'System Configuration'.
- In the 'System Configuration' Navigator, expand 'Recruiting Objects' and click on the 'File Categories' data view.
- In list pane on right tick the file categories to delete, point to 'Edit' menu and select the 'Delete' option.
