RBox provides a set of features for automatically tracking all incoming and outgoing email communications done via the application. You can enable or disable these features via the System Configuration module.
The TotalComm feature connects every outgoing and incoming (if configured) email with the related candidate, client or vendor; providing a complete communication history. This copying and auto-linking is automatic; even if the sent mail message is deleted, history is retained at all times.
You can view all such tracked communications via the communication history icon provided next to candidate, clients etc. and also using the Communications module.
The Auto Copy feature maintains a copy of all recruitment-related emails that you send and receive via Microsoft Outlook. These copies are done based on the email-ids of candidates, clients, vendors etc. stored in RBox.
Using AutoCopy
You can view the copied messages in the Communications module in RBox in the Communication History data views linked to specific clients, candidates and vendors.
AutoCopy is useful if you use Microsoft Outlook instead of the RBox Email Client for your recruitment-related communications but still want to track all of those communications within RBox.
The AutoCopy process happens via the PSAN Outlook Addin that is added to Microsoft Outlook when you install RBox Client Tools. It is triggered as part the automatic resume transfer or when you initiate transfer manually by clicking on the add-in button.
You can turn on AutoCopy from the System Configuration module via the administrative user login.

1. Enable/disable Total Communication
To enable viewing of email communications with client and candidates via the < > icon follow these steps via a user login having administrative privileges:
- Point to the Tools menu and select 'System Configuration'.
- In the System Configuration Navigator, expand 'System Settings' and click on the 'Communication' data view.
- On the right pane, in the 'Communication Management' section, tick the 'Enable Total Communication' checkbox.
- Click the 'Save' button on the right.
2. Enable Auto Copy of all recruitment-related emails
Follow these steps via a user login having administrative privileges to enable this:
- Point to the Tools menu and select 'System Configuration'.
- In the System Configuration Navigator, expand 'System Settings' and click on the 'Communication' data view.
- On the right pane, in the 'Communications Management' section, tick the ' AutoCopy Sent Emails to RBox' and the ' AutoCopy Received Emails to RBox' checkboxes.
- Click the 'Save' button on the right.
